Temporary Administrative Assistant Position Available

Christian Associates of Southwest Pennsylvania is seeking a part-time Temporary Administrative Assistant to serve six hours per week this fall, beginning in early/mid September and continuing through mid November, with the possibility of additional hours through the end of 2023. We need a meticulous, reliable, friendly, and self-motivated person who loves the church, prays for its unity, and celebrates its diversity. 

 

The Temporary Administrative Assistant will continue Christian Associates' most essential office operations while our Executive Administrative Assistant is out of the office on parental leave. The role will include these duties:

 

  • Reception and Hospitality:

    • Answering phones, retrieving and processing mail, answering inquiries by phone and e-mail;

    • Maintaining equipment, ordering supplies, processing mailings;

    • Compiling and tracking meeting attendance information;

  • Data and File Management:

    • Maintaining and updating the Salesforce database, including mailing and fundraising records;

  • Insurance and HR:

    • Processing payroll including record keeping and verification and liaising with (outsourced) payroll services personnel;

    • Recording vacation, PTO, and other leave for all employees;

  • Bookkeeping Support:

    • Creating, sending, and tracking invoices and giving statements;

    • Making bank deposits;

    • Preparing urgent checks between bookkeeping sessions;

    • Organizing bills, statements, and other financial data for processing and review by bookkeeper and/or treasurer, and assisting the bookkeeper as requested;

    • Promptly acknowledging all donations;

  • Program Support:

    • Managing newsletter advertisements and event postings;

    • Assisting the Executive Minister in other projects as time permits.

 

The position requires:

  • Excellent office administrative skills, with experience a plus;

  • Strong interpersonal written and verbal communication skills;

  • Problem solving and organizational skills;

  • HR knowledge;

  • Financial acumen;

  • Strong computer skills including use of MS Office (familiarity with Salesforce and Quicken a plus);

  • Ability to prioritize and track a variety of tasks;

  • Ability to respond to a wide range of individuals from variety of organizations and backgrounds;

  • Mission centered commitment, good judgment, professional/business-like orientation, ability to establish strong working relationships.

 

The weekly schedule is flexible. Onsite presence in the office during regular business hours (9 a.m.-5 p.m.) is expected.

 

Compensation is $20.25 per hour.
